This Privacy Policy explains how AirsKoi ("we", "our", or "us") collects, uses, and shares information when you use our website and services.

Content you provide: koi images, videos, nicknames, personal photos, or other data you upload.
Competition information: if you enter competitions, we may collect your name, your uploaded koi content, and your personal photo.
Private messaging information: competition messages, sanitized image attachments, conversation reports, and records of moderation actions and authorized moderator access.
Usage data: device information, IP address, cookies, pages visited, and interactions with our services.
Optional information: any other details you choose to share in your profile or submissions.

2. How We Use Your Information

We use your information to:

Provide, maintain, and improve AirsKoi services.
Analyze uploaded content to train AI models and improve our analytics systems.
Communicate with you about updates, competitions, or support.
Deliver private competition messaging, investigate reports, enforce our Terms, provide support, protect users, and maintain service security.
Display your name, personal photo, and uploaded competition content publicly as part of:
Competition rewards and certificates
Competition progress and results
Public competition details and showcases
Ensure security, detect fraud, and comply with legal requirements.

We may share your information with:

Service providers: such as hosting, analytics, and cloud storage providers.
Conversation participants and authorized personnel: competition messages are not public. They are available to the participant, currently authorized members of the relevant organizer team, and specifically authorized AirsKoi moderators when access is necessary for safety, report handling, support, legal compliance, or service operation. Moderator access to conversation details and moderation actions is recorded.
Legal authorities: if required by law.
Public audience: if you enter competitions, your name, personal photo, and uploaded koi content may be displayed publicly in competition materials.

We do not sell your personal information.

4. Data Retention

We retain information only for as long as reasonably needed to provide the service, protect users, investigate reports, resolve disputes, maintain audit records, comply with legal obligations, or exercise legal rights. Messaging retention periods vary depending on whether a conversation has been reported or placed under a legal or security hold. When an account is anonymized, active messaging access is removed, but messages, reports, and audit records may be retained where needed for those purposes. You may request deletion as described below; some information may be retained where deletion would conflict with legal, safety, dispute-resolution, or official-record requirements.

Competition-related content may remain publicly visible as part of official records and certificates. Private competition messages are not made public as part of those records.

5. Your Rights

Under Japan’s Act on the Protection of Personal Information (APPI) and other applicable laws, you may:

Request access to your personal information.
Request corrections or deletion (except where data must remain for official competition records).
Withdraw consent for certain processing (where applicable).

6. Security

We use reasonable safeguards to protect your data, but no system is completely secure.
